UKBGS Constitution & Rules

UKBGS refers to the United Kingdom Bangladeshi Golf Society and will hereafter be referred to as “UKBGS”. The UKBGS Constitution & Rules set out how UKBGS is governed and operated, ensuring clarity, fairness, and consistency across all Society activities. Use the links below to view each policy.

1. Objective:
UKBGS is a non-profit organisation established on 20 September 2017 to support and promote golf within the UK Bangladeshi community. Our vision is to provide a platform for UK Bangladeshis to experience, enjoy, and develop their passion for the game, while creating opportunities for people from all backgrounds and walks of life to come together, socialise, compete, and enjoy the true spirit of golf. As an inclusive society, UKBGS welcomes golfers of all abilities, backgrounds, and nationalities who share a love of the game and the values of friendship, respect, and sportsmanship.

2. Membership:
UKBGS membership is open to any person of Bangladeshi origin and equally to individuals from any other country, irrespective of ethnicity, background, gender, religious/political beliefs and social origin. We are an inclusive society and we welcome everyone to join, participate and enjoy the game of golf throughout the UK and abroad. Members are required to abide by the UKBGS constitution, rules and etiquette. Members must also adhere to the Rules of Golf as laid down by The R&A (http://www.randa.org/). Application for UKBGS membership can be completed here: Apply for Membership

3. Core Values:

(a). Respect & Inclusivity: UKBGS is an inclusive golf society, and members may also be affiliated with other golf societies or groups. However, all participants are expected to act in the best interests of UKBGS during its events and contribute positively to the spirit and unity of the group. Any behaviour that may be perceived as divisive (whether through affiliations, comments or conduct) must be avoided. Respect and courteousness towards all members is essential at all times. Any concerns regarding behaviour, tone or disputes must be raised with the Committee and should not be handled through on-course discussions/confrontations.

(b). Integrity & Fairness: All members are expected to uphold the values of fairness, integrity, respect and unity during UKBGS events. A player applying or enforcing golf rules must do so in a respectful and sportsmanlike manner at all times. While maintaining standards is essential for fair competition, it should not be communicated in a way that may be perceived as confrontational, dismissive or arrogant. Likewise, all players – regardless of handicap – are expected to respect the application of rules and decisions made in the interest of fair play.

4. Culture & Communication:
UKBGS is a golf society originally formed to provide UK Bangladeshis a platform for golfing opportunities and competitions. A majority of UKBGS members will have Bangladeshi heritage and deep-rooted links to Bangladesh. As a result, many members may naturally communicate in Bengali (including Sylheti) during events. This is valued and welcomed as part of UKBGS’ cultural identity and should not be considered disrespectful towards non-Bengali speaking members. However, members and guests must ensure that they remain inclusive and mindful of others in group settings, particularly when others may not understand the language being spoken.

5. Governance & Committee Authority:
UKBGS is governed by a Committee comprising the President, Vice President, Captain, Vice Captain, Treasurer, and General Secretary, with additional roles appointed as and when required to support the Society’s continued growth and effective administration. The Committee shall have overall responsibility for the governance, administration, and proper running of the Society. This includes authority over membership approvals, the appointment and removal of Committee members, disciplinary oversight including the suspension or dismissal of members where necessary, interpretation of Society rules, and decisions relating to competitions, handicaps, eligibility, and operational policies. Any rulings affecting the running of UKBGS shall be determined by a majority vote of Committee members present, and such decisions shall be final unless otherwise reviewed by the Committee.

6. Disciplinary Procedures:
UKBGS expects all members to uphold the values, standards, and reputation of the Society both on and off the golf course. In the event of a complaint relating to a member’s conduct at a UKBGS event, or arising from behaviour towards another member, the matter shall be reviewed by the Committee. Where a complaint is upheld, a written warning may be issued in the first instance. If a second complaint concerning the same member is received and upheld, the Committee may impose further disciplinary action, including suspension or, where necessary, termination of membership. The Committee reserves the right, where it considers the seriousness of the misconduct warrants it, to depart from this two-step process and impose immediate disciplinary action, including suspension or, where necessary, termination of membership, at any stage. Any member subject to disciplinary action shall have the right to appeal in writing to the Committee, whose decision following review shall be final.

7. Communication Channels:
Official UKBGS communications shall be issued by the Committee through one or more of the following channels: the Official WhatsApp Forum, WhatsApp Chat Forum, email, the UKBGS website, and official newsletters. The Official WhatsApp Forum will be used regularly for announcements, updates, and important notices intended for all members. The WhatsApp Chat Forum is provided for general member interaction and discussion, and all participants are expected to communicate respectfully, without foul, abusive, or discriminatory language. Any questions or concerns arising from official communications should be addressed privately with a Committee member.

8. Amendments & Dissolution:
UKBGS reserves the right to amend, revise, or update this Constitution where necessary in the best interests of the Society. Any amendments shall be subject to approval by the Committee and communicated to members through official UKBGS communication channels. In the event that UKBGS ceases to operate or is dissolved, any remaining assets, funds, or liabilities of the Society shall be managed and resolved in accordance with decisions made by the Committee in the best interests of UKBGS and its members.

This revised Constitution was adopted by the UKBGS Committee on 16 April 2026 and replaces all previous versions.

UKBGS is committed to promoting integrity, fairness, inclusion and sportsmanship in all competitions and events. By registering for a UKBGS competition, all players agree to the following:

1. Code of Conduct:

  • Play honestly and fairly at all times, including counting all strokes correctly and applying the Rules of Golf properly.
  • Show respect to fellow players, organisers, course staff, and the venue at all times.
  • Promote inclusion and unity by treating all players with dignity and respect, regardless of nationality, ethnicity, religion, background, age, or ability.
  • Maintain a good pace of play and be ready to play when required.
  • Remain silent and respectful during tee shots and at any time another player is making a stroke.
  • Care for the golf course by repairing pitch marks, replacing divots, and raking bunkers.
  • Display good conduct and sportsmanship throughout the event and avoid any form of cheating, abusive language, intimidation, or unsporting behaviour.

Failure to comply with the above may result in a penalty, disqualification, removal from the event, or exclusion from future UKBGS competitions.

2. UKBGS Competition Terms:

By entering a UKBGS competition, all players agree to the following competition terms:

  • Comply with all UKBGS competition rules, formats, deadlines, and event regulations.
  • Be present and ready at least 10 minutes before the designated tee time and arrive at designated locations as set out by the Captain and Vice Captain on the day of the competition.
  • Complete, check, and submit scorecards correctly. Any incorrect, incomplete, unsigned, or misleading scorecard may result in penalty or disqualification.
  • Society rules may be amended on the day before the event where necessary due to course conditions, local rules, weather, or operational requirements.
  • Cancellations or withdrawals do not guarantee a refund for players. Refunds will normally only be considered where another player is able to fill the vacant space. Where a refund is issued, UKBGS reserves the right to deduct any applicable administrative costs, including payment processing fees.
  • The decisions of the Captain and Vice Captains are final in relation to competition matters, conduct, handicaps, eligibility, and disciplinary issues.
  • Any appeals or complaints must be submitted in writing to the UKBGS Committee for review.

3. UKBGS Handicap & Division Policy:

To support fair competition, UKBGS operates its own handicap and divisional structure for society events.

  • UKBGS handicaps are deemed correct at the time of publication and shall supersede any other handicap for the purposes of UKBGS competitions.
  • Players must inform UKBGS before play if their current playing handicap is lower than the handicap allocated by UKBGS, including where this is reflected by a WHS Index or recent verified scores.
  • Any player who believes their allocated UKBGS handicap should be higher may request a handicap review in writing to the Captain of UKBGS.
  • UKBGS reserves the right to review, amend, or adjust handicaps at any time in the interests of fair competition.
  • Failure to declare a true playing handicap may result in retrospective penalties, disqualification, or further disciplinary action.

For divisional competitions, UKBGS currently operates the following structure:

  • > Division 1: Players with handicaps of 16.4 and below
  • > Division 2: Players with handicaps of 16.5 to 28

These divisional thresholds may be reviewed by the Committee where necessary to ensure a fair and balanced number of competitors in each division. Any player moved from Division 1 to Division 2 as a result of a divisional threshold change may volunteer for a handicap reduction if they wish to remain eligible for Division 1.

Code of Conduct, Competition Terms, Handicap, Division, Cancellation &Refund policy updated by the UKBGS Committee on 16 April 2026

1. Dress Code:
Golf shirts/tops or UKBGS golf shirts/tops must be worn during UKBGS competitions. All members are expected to adhere to appropriate golf attire at all times. It is each member’s responsibility to be aware of and comply with the dress code and any specific restrictions (e.g. spikes, shirts, shorts) imposed by the host golf course.

2. Guest Participation & Eligibility:
Guests are welcome to participate in UKBGS events; however, they are not eligible to win the main tournament trophy. At the Committee’s discretion, guest players may be eligible for selected on-course prizes such as ‘Nearest to the Pin’ and ‘Longest Drive’.

3. Pace of Play:
All players are expected to maintain an appropriate pace of play in line with golf course requirements. Slow play will not be tolerated, and repeated or excessive delays may result in a warning or further action. Players should use the group ahead as a guide to maintain proper pace.

4. Etiquette & Conduct:
All members are expected to uphold proper golf etiquette and behaviour when representing UKBGS. This includes showing respect to fellow players, course staff, and the venue at all times. Excessive noise, including shouting or disruptive behaviour—even in celebration—should be avoided as it may disturb other players.

5. On-Course Disputes:
Any disputes arising within a playing group must be reported after completion of the round and prior to the signing of scorecards. The matter should be referred to the Captain or, if unavailable, the Vice-Captain or next designated official, whose decision shall be final.

6. Inclusivity and Participation:
UKBGS welcomes members of all abilities, from beginners to experienced players. Members are expected to play with fellow members and guests during events, and refusal to do so will not be tolerated. A mix of abilities is encouraged to promote inclusivity, learning, and social interaction across the Society.

7. Conduct & Behaviour Standards:
UKBGS operates as an inclusive and respectful society. Members must avoid behaviour that may be considered divisive or inappropriate, including involvement in political, religious, or other contentious matters that could lead to conflict within the Society. Any breach may result in disciplinary action at the discretion of the Committee.

8. Liability & Insurance:
Members are advised to obtain personal golf insurance; however, this is not mandatory. UKBGS shall not be held liable for any loss or damage to equipment, or for any injuries sustained during Society events or activities.

1. About the Shop, Orders and Payments:
The UKBGS Shop is operated by the UK Bangladeshi Golf Society (“UKBGS”), a not for profit golf society. Any surplus from shop sales is retained to support the society and its activities and is not distributed to committee members or members. Customers must check their product selection, quantity, size and personalisation details before purchasing. Prices are stated in pounds sterling and include any applicable taxes. Full payment is required at checkout. Orders are subject to availability and are accepted when UKBGS confirms acceptance, normally by email. If an item cannot be supplied, customers will be offered an alternative or a full refund. Substitutions require the customer’s agreement.

2. Collections and Order Fulfilment:
UKBGS operates a collection-only service and does not offer postal shipping, courier delivery or home delivery. Following order confirmation, orders will normally be available for collection at the next monthly UKBGS competition, subject to availability and any stated production lead time.

UKBGS operates a society shop and regularly consolidates customer orders into bulk purchases from external suppliers. Orders are normally distributed for collection at a monthly UKBGS competition. Lead times may vary depending on order volumes, supplier availability and competition dates. UKBGS will communicate the anticipated collection timeframe to customers and provide updates on any changes or delays. Where a longer fulfilment period is required, this will be agreed with the customer before the order is accepted.

If an order is delayed or a competition is cancelled or postponed, UKBGS will notify the customer and arrange a revised collection date. Customers retain their statutory cancellation and refund rights if the agreed fulfilment period cannot be met. Customers unable to attend should contact the Committee to arrange a later collection or authorise another person to collect on their behalf. Failure to attend does not result in automatic forfeiture of the order or payment.

3. Cancellations, Returns and Refunds
For standard goods purchased online, customers may cancel from the time of ordering until 14 days after taking physical possession of the goods. Customers must notify UKBGS and return the goods within a further 14 days. Please contact the Committee promptly to arrange a return rather than waiting for the next competition.

Customers bear the direct return costs for change of mind cancellations. Goods may be inspected and tried on as they would be in a shop. Any reduction in value caused by excessive handling may be deducted from the refund. The change of mind cancellation right does not apply to goods made to the customer’s specifications or clearly personalised, such as items bearing an individual’s name. Standard UKBGS branding alone does not make an item personalised.

Faulty, damaged, incorrectly supplied or misdescribed goods will be addressed through the appropriate refund, repair or replacement in accordance with consumer law. UKBGS will bear reasonable necessary return costs in these circumstances. Refunds will normally be made using the original payment method, without an administration fee, within the applicable statutory timeframe. For change of mind returns, reimbursement may be withheld until UKBGS receives the goods or evidence of their return, whichever occurs first.

4. Customer Support and Consumer Rights
For order enquiries, collection arrangements, cancellations, returns or complaints, contact admin@ukbgs.com.
Nothing in these terms limits or excludes customers’ statutory consumer rights.
